When you were five people, you caught the mistakes yourself. You knew which customer was waiting for a call, which roof needed the longer scaffold, and which job was priced too thin.

With several crews, a second branch or a list of subcontractors, nobody can hold all of that in their head. The problems are the ones you have always had. There are more of them, and they are found later.

A return visit costs a crew, a van and a day. At ten jobs a month it is an annoyance. At a hundred it is a line in your accounts, and the same mistake is being made by three crews because nobody wrote it down the first time.

Installa moves the checking upstream. The design is checked against the inverter, the strings, the cable runs and the grid connection limits while it is still a drawing, and a second person can approve it or send it back before it is quoted. Each job shows what has not been done yet, such as no approval from the network operator or no install date, so it is seen by the person planning the work, not discovered by the person on the ladder.

With a few hundred customers in progress, the ones who go quiet are the ones you lose, and the ones who complain do it in public. It is rarely anyone’s fault. The message was taken by one person and the job belongs to another.

Every customer has one record that sales, the office and the crews all work from: what was asked for, what was promised, who is dealing with it and what happens next. Follow-ups have a date and a name against them, and each person starts the day with the list of what is due and which customers are going quiet. The customer is emailed when the installation is booked or moved, and has a page of their own to see progress, read the quote and find the paperwork.

Every hand-over between sales, design, the office and the crew is a place for news to get lost. The more departments you have, the more hand-overs there are, and the more of your day goes on passing messages along.

In Installa the job is the message. The office and the crews look at the same calendar, so a date that moves has moved for everyone, and the customer is emailed about it. A question can be put to a named colleague on the job itself. They are notified, and the answer stays with the work instead of in somebody’s inbox.

“Who changed that, and why?”

A disputed invoice. A warranty claim two years on. A client who wants evidence that the work was done the way the contract said. In a small firm you ask the person who did it. In a larger one that person has moved on, and the answer has gone with them.

Installa keeps the history with the job: who changed what, and when, from the first call onwards. When an enquiry is lost, a job is put on hold or a design is sent back, the reason is recorded with it. The design that was approved, the proposal that was sent, the photographs and the certificates all stay on the record, so the answer is there when someone asks.

One job priced too thin is a bad week. One wrong assumption copied into three hundred quotes is a bad year, and you will not see it until the accounts arrive.

Proposals are built from the design, line by line and down to the cable runs, at your own prices. What each job actually cost in materials, labour and subcontractors is recorded against what it was sold for, so you can see which kinds of work pay and which do not while there is still time to change the price.

When the plan lives in one person’s head, every job waits for that person. They cannot take a holiday, and you cannot open a second branch.

The design says exactly which products go where and how they connect, and the itemised quote comes straight from it. Access notes stay with the site. The calendar shows which crew is where, warns when someone is booked twice and shows how loaded each crew is, so the person planning next month can see it all without ringing round.
